Event transport

Conferences, dinners, awards evenings and delegate movement: several vehicles, a schedule that has to hold, and one person accountable for it. The value is not the cars — it is that somebody has thought about the order things happen in.

What we plan with you

  1. The fixed points

Start time, the doors-closed moment, the last departure. Everything else is arranged backwards from those rather than forwards from the first pickup.

  2. The movements

Arrivals from stations and hotels, movement between venue and dinner, and the departures at the end — which are always messier than the arrivals and deserve more planning.

  3. The contact on the night

One name and number on our side and one on yours. When a schedule slips, a single call fixes it; a group chat does not.

The details that decide whether it works

  • Party size per movement, not just in total — twenty delegates arriving together is a different problem from twenty leaving over two hours.
  • Venue access. Where vehicles can actually wait, and for how long. Many venues cannot hold vehicles at all, which changes the whole plan.
  • Luggage and equipment. Delegates with cases, or a stand to move, need the vehicle chosen for the load and not the headcount — see vehicle classes.
  • Accessibility needs, told to us early enough to arrange properly rather than accommodated badly on the night.
  • Who is authorised to change the plan once the event is running.

What we will not do

We will not accept an event we cannot cover properly in the hope of sorting it out later. If the date is beyond what we can commit, you will hear that while you still have time to arrange something else — which is worth more to you than an optimistic yes.

Pricing and billing

Event work is quoted as a plan, not a fare list: vehicles, movements, waiting and returns priced together and agreed before the date. Where you hold an account it is invoiced under the arrangements already agreed — see corporate accounts.

Event transport questions

How many vehicles can you provide?

It depends entirely on the date, which is why we will not publish a number. Tell us the date, the times and the party size and you will get a straight answer — including, if it comes to it, that we cannot cover it. An event is the worst place to discover a shortfall on the day.

How far ahead should we book?

As early as the date is fixed. Event work concentrates on the same evenings — end of term, awards season, the week before Christmas — and those are the dates where committing early is the difference between having vehicles and not.

Can delegates book individually against our event?

Yes, where that is how you want it run: journeys placed individually but recorded against your account and reference, so the event arrives on one invoice. Agreed in writing when the event is set up.

What happens if the event overruns?

Tell us as it happens rather than afterwards. Where a driver can stay, waiting is charged on the terms stated on your confirmation; where they cannot, we will say so at the time instead of leaving people waiting outside a closing venue.

Plan transport for an event

Send the date, the venues and the party size, and we will come back with a plan and a price — or tell you honestly if we cannot cover it.
